What is a warehouse management system?

A warehouse management system (WMS) is software that runs the day-to-day operation inside a warehouse, receiving, putaway, inventory by location, picking, packing, shipping, and returns, in real time, directed by barcode scanning. It replaces spreadsheets and paper with a single source of truth for stock and orders.

Where basic inventory software just counts what you own, a WMS directs the physical work: it tells operators exactly what to receive, where to store it, how to pick it fastest, and how to ship it cheapest, verifying every step with a scan. For third-party logistics providers, a WMS also bills clients for the work performed.

Warehouse management system FAQ

What is a warehouse management system (WMS)?

A warehouse management system (WMS) is software that runs the day-to-day operation inside a warehouse, receiving, putaway, inventory by location, picking, packing, shipping, and returns, in real time, usually directed by barcode scanning. It replaces spreadsheets and paper with a single source of truth for stock and orders.

What does a WMS do?

A WMS directs and records every movement of inventory: it receives goods against POs and ASNs, puts stock away to tracked locations, directs picking and packing, rate-shops and ships orders, handles returns, and keeps inventory accurate. A 3PL-focused WMS like Teamship also bills clients for the work.

What's the difference between a WMS and an ERP?

An ERP runs the whole business (finance, purchasing, planning) and usually includes a basic inventory module, while a WMS runs the physical warehouse operation in real time. Most growing operations run both and integrate them. See our ERP vs WMS comparison for detail.

What's the difference between a WMS and inventory management software?

Inventory management software tracks quantities and value; a WMS adds location-level control and directs the physical work, putaway, picking, packing, and shipping, with scan verification. A WMS includes inventory management, but not the other way around.

Do I need a WMS?

If inventory accuracy, picking speed, or shipping errors are costing you money, or, for a 3PL, if billing clients accurately takes days, a dedicated WMS pays for itself. It's the difference between a warehouse that runs on memory and one that runs on data.

Is Teamship a cloud-based WMS?

Yes. Teamship is a modern cloud WMS, no servers to maintain, accessible from any device, and updated continuously. It connects to 340+ integrations across sales channels, carriers, and accounting systems.
